This privacy policy explains how OpenOffice.org.nz collects, uses and protects personal information when you visit the website. We follow New Zealand’s Privacy Act 2020 and its information privacy principles. OpenOffice.org.nz is an information site about office software – we have no user accounts, no online shop and no payment handling.
In short: we collect as little information about you as possible. We use no advertising networks, no behavioural tracking, no newsletter and no analytics tools such as Google Analytics. The only information we handle is what you choose to send us by email, plus a small amount of technical data needed to deliver the website securely.
Last updated: October 2026.
Who is responsible for your information
OpenOffice.org.nz is represented by the website’s owner, who is the agency responsible for the personal information described in this policy. If you have questions about how your information is handled, or want to make a privacy request, please use our contact page.
What personal information we collect
We collect two kinds of information.
Information you give us by email
When you send us a message, we handle:
- your email address
- your name, if you include it
- the content of your message
- any other details you choose to share.
You decide what to send. Please do not email us documents or files containing confidential or sensitive information – we do not need them to answer a question about our content.
Technical information collected automatically
When you visit the website, some technical data is recorded automatically by our hosting provider, Hetzner, and our security and delivery service, Cloudflare:
- IP address – used to deliver pages and to protect against misuse
- browser type and version
- operating system
- referring page (the page you came from)
- date and time of the visit
- pages requested on the website.
This data is gathered through server logs and necessary cookies. It is used only to keep the website running and to guard against technical attacks, not to build a profile of you as a visitor.
Cookies
We use necessary cookies only. These are required for the website to work and to be delivered securely. Because we set no other cookies, the website is designed to run without a cookie consent banner.
The necessary cookies come from:
- Cloudflare – security and delivery, for example telling human visitors apart from automated bots
- LiteSpeed Cache – caching, so that pages load faster
- WordPress – core cookies needed for the website to function.
We do not use:
- Google Analytics or any other analytics tool
- advertising cookies or behavioural tracking
- social media plugins that track visitors
- marketing or affiliate trackers
- any third-party cookies beyond the technical services listed above.
You can delete existing cookies and block new ones at any time in your browser settings, although this may affect how the website works. Our cookie policy has more detail.
Why we use your information
We collect personal information only for a lawful purpose connected with running the website, and we use it only for that purpose:
- Answering your messages – we use your email address and the content of your message to reply to you.
- Operating and delivering the website – technical data is needed to send pages to your device.
- Security and protection against misuse – IP addresses and related data help Cloudflare and our host block attacks and abuse.
- Understanding search performance – we use Google Search Console, which shows us aggregated, anonymous figures about how the site appears in Google Search. It does not identify individual visitors.
- Meeting legal obligations – where the law requires us to keep or disclose information.
We do not sell personal information, and we do not use it for advertising or marketing.
How long we keep your information
We keep personal information only for as long as it is needed for the purpose it was collected for:
- Email enquiries – up to three years after our last contact with you, after which they are deleted unless the law requires us to keep them longer.
- Server logs at Hetzner – normally deleted automatically within about 30 days.
- Cloudflare security logs – normally kept for about 30 days.
- Necessary cookies – from the length of your browser session up to around one year, depending on the cookie.
Service providers who handle information for us
We rely on a small number of third-party service providers to run the website. They handle information on our behalf and under their own privacy and security commitments:
- Hetzner Online GmbH (web hosting) – stores the website and processes server logs and IP addresses as part of the hosting service. Location: Germany (European Union). Privacy policy
- Cloudflare, Inc. (security and content delivery) – processes IP addresses and technical request data. Location: United States, with servers worldwide. Privacy policy
- Google LLC (Search Console) – provides aggregated, anonymous search performance data. Location: United States. Privacy policy
We may also have to disclose information to a public authority where the law requires it.
Information held outside New Zealand
Because our service providers are based in Germany and the United States, technical data about your visit is stored and processed outside New Zealand. We choose established providers that are subject to privacy laws or contractual safeguards offering protection comparable to the Privacy Act 2020, and we take reasonable steps to make sure your information stays protected wherever it is held.
Security
We take reasonable technical and organisational steps to protect personal information against loss, unauthorised access, alteration and disclosure, including:
- HTTPS encryption across the whole website
- Cloudflare’s security infrastructure, with DDoS protection, a web application firewall and bot management
- regular updates of WordPress, plugins and themes
- restricted access to the administration system
- hosting with Hetzner, whose data centres are ISO 27001 certified.
If a privacy breach occurs that has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and the people affected as soon as practicable, as the Privacy Act 2020 requires.
Your rights under the Privacy Act 2020
You have the right to:
- ask whether we hold personal information about you and request access to it
- ask us to correct information you believe is wrong. If we do not agree to make a correction, you can ask us to attach a statement of the correction you sought.
You can also ask us to delete your email correspondence, and we will do so unless we are required to keep it.
To make a request, use our contact page. We will respond as soon as reasonably practicable, and no later than 20 working days after we receive your request. There is no charge.
Complaints to the Privacy Commissioner
If you are unhappy with how we have handled your personal information, please contact us first so that we have the chance to put things right. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner, New Zealand’s privacy regulator, at privacy.org.nz.
Children and young people
OpenOffice.org.nz is a general-interest site about office software and is suitable for readers of any age, including students. We do not ask for personal information from children and do not knowingly collect it. If you are a parent or guardian and believe your child has emailed us personal details, contact us and we will delete them.
Changes to this policy
We may update this policy from time to time to reflect changes to the website or to the law. The current version is always published on this page with the date it was last updated.
