Google Workspace Pricing in NZ: Plans, Costs and What You Get

Google Workspace pricing in New Zealand graphic featuring subscription plan cards, an NZ$ badge and cloud productivity icons alongside a map of New Zealand.

Google Workspace pricing in New Zealand starts at NZ$10.50 per user per month for the entry Business Starter plan on an annual commitment, and rises to about NZ$33 per user per month for Business Plus, with all prices quoted exclusive of GST. This guide breaks down exactly what each plan costs in New Zealand dollars, the difference between annual and flexible billing, what the 2025 changes mean for your bill, and how Google Workspace stacks up against Microsoft 365 and free alternatives. Every figure below was checked against Google’s own pricing information and reflects the situation as of 2026.

What is Google Workspace?

Google Workspace is Google’s paid subscription bundle of business productivity and collaboration tools. It combines Gmail on your own domain (for example, [email protected]), Google Drive cloud storage, and the Docs, Sheets and Slides editors, together with Google Meet video calls, Google Calendar, Chat and a set of admin and security controls. It is the renamed successor to G Suite, which itself grew out of “Google Apps”.

The key thing that separates Google Workspace from the free consumer version of Gmail and Docs is that Workspace gives you a custom email domain, pooled business storage, centralised administration, and support. In short, you are paying for the professional, managed version of tools many New Zealanders already use for free at home.

Google Workspace pricing in New Zealand (2026)

Google Workspace is sold per user, per month, and there are four Business and Enterprise tiers available to New Zealand organisations. The table below shows the current New Zealand dollar pricing. Two numbers matter for each plan: the annual (fixed-term) price, which is cheaper but locks you in for 12 months, and the flexible price, which lets you add or remove users month to month for roughly 20% more.

Business Starter

Business Starter, at NZ$10.50 per user per month on an annual plan, is aimed at sole traders and very small teams that mainly want professional email on their own domain. It includes custom business email, the full Docs, Sheets, Slides and Meet apps, and 30 GB of pooled storage per user. Video meetings are capped at 100 participants. Gemini, Google’s AI assistant, is available in a limited form (mainly help drafting and summarising email in Gmail) rather than across every app. For a one- or two-person business that just needs a credible email address and cloud files, this is usually enough.

Business Standard

Business Standard, at NZ$21 per user per month annually, is the plan most growing New Zealand small businesses land on. It jumps storage to 2 TB pooled per user, raises Meet to 150 participants with meeting recording and noise cancellation, and unlocks the full Gemini AI assistant across Gmail, Docs, Sheets, Slides and Meet. It also adds eSignature for Docs and PDFs and appointment booking pages. If your team collaborates on documents daily or runs client video calls, the extra storage and AI generally justify the step up from Starter.

Business Plus

Business Plus, at NZ$33 per user per month annually, targets businesses with compliance, records-retention or larger-meeting needs. On top of everything in Standard, it provides 5 TB of pooled storage per user, Meet for up to 500 participants with attendance tracking, more advanced endpoint and security management, and Google Vault for data retention, legal hold and eDiscovery (searching and exporting your organisation’s data for legal or audit purposes). This is the tier for professional services firms, or any business that must keep and produce records.

Enterprise

Enterprise is quoted individually rather than listed at a fixed price, so you contact Google or a partner for a New Zealand quote. It is built for larger organisations that need advanced security (such as data loss prevention, S/MIME email encryption and data-region controls), the largest meetings with live streaming to up to 1,000 people, and the deepest Gemini AI capabilities. Storage starts at 5 TB per user with more available on request. Unless you have specific compliance or scale requirements, most New Zealand SMEs never need Enterprise.

What changed in 2025: Gemini AI is now included

The most important recent change to Google Workspace pricing happened in early 2025. Previously, Google’s Gemini AI features were sold as a separate add-on costing roughly US$20 to US$30 per user per month. In January 2025 Google folded those AI features directly into every Business plan and retired the standalone add-ons, raising the base subscription prices by roughly 17% to 22% in the process.

In practical terms this means you can no longer buy Google Workspace without the AI, and you no longer pay a large separate fee to get it. The current NZD prices in the table above already include this bundled Gemini access. The level of access still varies by tier: Business Starter gets a limited version, while Business Standard and above get the full assistant across the core apps. If you compared quotes a year or two ago, expect today’s prices to be noticeably higher for this reason.

Annual vs flexible billing: which is cheaper?

Google Workspace offers two payment plans, and the choice affects your bill by about 20%. The Annual/Fixed-Term Plan commits you to a set number of user licences for 12 months in exchange for the lower per-user rate shown above; you can still add users mid-term, but you cannot reduce below your committed count until renewal. The Flexible Plan charges the higher monthly rate but lets you add or remove users at any time and only pay for what you use each month.

As a rule of thumb, choose the annual plan for your stable core team (the people who will clearly be there all year) and consider the flexible plan for seasonal, contract or trial staff whose numbers move around. Some New Zealand businesses run both: an annual commitment for permanent employees and flexible licences layered on top for temporary needs.

Do New Zealand prices include GST?

No. Google lists Google Workspace prices in New Zealand exclusive of GST, and the 15% Goods and Services Tax is added when you check out. So a Business Standard licence advertised at NZ$21 per user per month actually costs NZ$24.15 including GST. If your business is GST-registered you can generally claim that GST back, but you should still budget the tax-inclusive figure for cash-flow purposes. Always read whether a price is quoted “plus GST” or “incl GST” when comparing office suites, because vendors are not consistent about it.

How Google Workspace compares to Microsoft 365 and other suites

Google Workspace’s closest rival in New Zealand is Microsoft 365, which is priced at a very similar level for its comparable business tiers. Beyond those two giants there are cheaper email-focused suites and free open-source options that suit different needs. The comparison below lists concrete, current figures so you can weigh cost against what you actually get. For a deeper look at the Microsoft side, see our guide to Office 365 Business in NZ.

LibreOfficeFree (open source)Local (no cloud)NoFull desktop office suite at no cost

A few points to keep in mind when reading any comparison. First, Google Workspace and Microsoft 365 are web-first with strong offline modes, while LibreOffice and Apache OpenOffice are desktop suites that do not include business email or cloud collaboration at all, so they solve a different problem. Second, the cheapest suites (such as Zoho) can be excellent value for email but have smaller ecosystems and fewer NZ-based partners. If you mainly want free document editing rather than a full cloud service, our roundup of OpenOffice alternatives and our LibreOffice vs OpenOffice comparison cover the free options in detail.

Which plan is right for your New Zealand business?

The right Google Workspace plan comes down to storage, meeting size, and whether you have compliance requirements. Here is a simple way to decide.

  • Sole trader or 1–2 people, light needs: Business Starter. You get professional email and enough storage for documents; upgrade later if you outgrow 30 GB.
  • Most small businesses (roughly 2–50 staff): Business Standard. The jump to 2 TB per user and full Gemini AI is usually worth the extra ~NZ$10.50 per user per month, and meeting recording is genuinely useful.
  • Firms with compliance, records or big-meeting needs: Business Plus, for Google Vault, larger meetings and more storage.
  • Large or highly regulated organisations: Enterprise, for advanced security controls and a tailored contract.

Because storage is pooled across your organisation rather than fixed per person, small teams with a few heavy users can often sit on a lower tier for longer than they expect. If your team lives in spreadsheets, it is also worth brushing up on Google Sheets formulas to get more value out of whichever plan you choose.

Other Google Workspace plans and the free option

The Business and Enterprise tiers are not the only ways to pay for Google’s tools. Depending on who you are, one of these may fit better.

  • Google Workspace Individual: a solo plan (around US$9.99 per month) that adds premium Meet, booking and email features to a personal Gmail address. It is aimed at solopreneurs who do not need a custom domain or admin console.
  • Google Workspace for Nonprofits: eligible New Zealand charities can access a free Workspace tier, plus heavily discounted Standard, Plus and Enterprise pricing, through the Google for Nonprofits programme.
  • Google Workspace for Education: schools can use free Education Fundamentals, with paid upgrades (Standard, Teaching and Learning, or Plus) for extra security and tools.
  • Free consumer Gmail and Docs: a personal Google account gives you Gmail, Docs, Sheets, Slides and 15 GB of storage shared across Gmail, Drive and Photos, at no cost. It is not Google Workspace: there is no custom domain, no pooled business storage, no admin controls and no dedicated support. It is fine for personal use or testing, but not a substitute for a business plan.

How to sign up and start a free trial

Every Google Workspace Business plan comes with a 14-day free trial, so you can test it before you commit. The process is straightforward:

  1. Go to the official Google Workspace New Zealand pricing page and choose a plan.
  2. Enter your business details and the domain you want to use. You can buy a new domain through Google or connect one you already own (for example a .co.nz you registered with a New Zealand registrar).
  3. Create your first admin account and add users. Each person you add is a billable licence once the trial ends.
  4. Verify domain ownership (usually by adding a small record to your domain’s DNS settings) so email can be routed to Gmail.
  5. Add your payment details. You are not charged until the trial ends, and you can cancel during the trial at no cost.

If you are migrating from another provider, plan the email cut-over carefully so you do not miss messages during the switch. Larger migrations are often easier with a Google Cloud partner, and the same partners can sometimes offer pricing or onboarding help.

Common mistakes when choosing a Google Workspace plan

A few pricing traps catch New Zealand buyers repeatedly. Avoiding them can save real money.

  • Reading old prices. Many blog posts and even reseller pages still quote pre-2025 figures (such as NZ$9 or NZ$18) that predate the Gemini bundle. Always confirm against Google’s current page.
  • Forgetting GST. Comparing a “plus GST” Google price against an “incl GST” competitor makes one look artificially cheaper. Compare like with like.
  • Over-buying storage. Because storage is pooled, most small teams do not need Business Plus just for space. Start lower and upgrade if you actually hit the limit.
  • Choosing flexible billing for a stable team. Paying the ~20% flexible premium for staff who will clearly be there all year is money left on the table; use the annual plan for your core headcount.
  • Assuming free Gmail is “good enough” for business. Using an @gmail.com address for a company looks unprofessional and gives you none of Workspace’s admin, security or ownership controls.
  • Ignoring the AI you are paying for. Gemini is now bundled into your subscription. If your plan includes it and nobody uses it, you are paying for a feature you have switched off in practice.

Security, privacy and the Privacy Act 2020

Google Workspace stores your data in Google’s global cloud, and New Zealand businesses must handle personal information in line with the Privacy Act 2020. That law does not ban storing data offshore, but it does make your business responsible for keeping that information protected to a comparable standard. Google publishes compliance certifications and contractual data-protection terms, and higher tiers add controls such as data loss prevention, encryption and (on Enterprise) data-region options that let you influence where data is stored at rest.

For most small businesses the practical security wins are simpler: turn on two-step verification for every user, use the admin console to manage devices and sharing, and set a sensible data-retention policy (Vault, on Business Plus and above, helps here). If data sovereignty is a hard requirement for your organisation, compare Google’s terms carefully against Microsoft’s New Zealand data-residency options before deciding. Keeping good financial records matters too; if you are setting up a new business, our free budget templates pair well with either suite.

Frequently Asked Questions (FAQ)

How much does Google Workspace cost per user in New Zealand?

As of 2026, Google Workspace costs from NZ$10.50 per user per month for Business Starter, NZ$21 for Business Standard and NZ$33 for Business Plus, all on an annual commitment and exclusive of GST. Flexible month-to-month billing costs about 20% more. Enterprise is priced by custom quote.

Do Google Workspace prices in NZ include GST?

No. Google lists New Zealand prices exclusive of GST, and the 15% Goods and Services Tax is added at checkout. For example, a NZ$21 Business Standard licence works out to NZ$24.15 per user per month including GST. GST-registered businesses can usually claim that portion back.

Is there a free version of Google Workspace?

There is no free tier of Google Workspace itself, but every Business plan has a 14-day free trial. A personal Google account gives you free Gmail, Docs, Sheets and 15 GB of storage, but without a custom domain, pooled business storage or admin controls, so it is not a true replacement for a paid Workspace plan. Eligible nonprofits and schools can access free or discounted plans.

What is the difference between Business Standard and Business Plus?

Business Plus adds 5 TB of pooled storage per user (up from 2 TB), larger Google Meet sessions of up to 500 participants with attendance tracking, more advanced security and device management, and Google Vault for data retention, legal hold and eDiscovery. If you do not have compliance or records-retention needs, Standard is usually sufficient.

Is Google Workspace cheaper than Microsoft 365 in New Zealand?

They are very close. Google Workspace Business Standard is about NZ$21 per user per month, while Microsoft 365 Business Standard is around NZ$22.60, both on annual billing and excluding GST. The better choice usually depends on whether your team prefers Google’s web-first tools or Microsoft’s desktop Office apps, rather than on price alone.
