WPS Office is a free, cross-platform office suite that bundles a word processor, a spreadsheet app, a presentation tool and a PDF editor into a single download. Developed by the Chinese company Kingsoft, it has become one of the most popular alternatives to Microsoft Office, especially on mobile devices. This review looks at what WPS Office actually includes, how its free and paid plans differ, how well it reads Microsoft file formats, what its AI tools do, how to download it safely, and the privacy and security questions that come with a Chinese-owned product. The aim is a clear, neutral picture so you can decide whether it suits you.

What is WPS Office?

WPS Office is a complete productivity suite that competes directly with Microsoft Office and free suites such as LibreOffice and OpenOffice. The name originally stood for “Word Processing System”, and today the suite is often read as Writer, Presentation and Spreadsheets — its three core apps — plus a built-in PDF toolkit. It is “freemium” software: the core apps are free to download and use, while an optional subscription removes advertising and unlocks the more advanced PDF and AI features.

The suite is best known for two things. First, its interface looks and behaves much like Microsoft Office, so the learning curve for anyone coming from Word, Excel or PowerPoint is very short. Second, it is unusually light and runs on almost everything — Windows, macOS, Linux, Android, iPhone, iPad and a browser-based web version — which is why it is so widely installed on phones and tablets. Unlike LibreOffice and OpenOffice, however, WPS Office is proprietary software, not open source: the code is owned by Kingsoft and is not published for anyone to inspect.

Who makes WPS Office?

WPS Office is made by Beijing Kingsoft Office Software, Inc., a Chinese software company headquartered in Beijing and listed on the Shanghai Stock Exchange’s STAR Market (stock code 688111). It is a subsidiary of the larger Kingsoft group, which was founded in 1988 and released the first version of WPS the same year. The office unit was spun off as a separate company in December 2011 and renamed the suite WPS Office in 2014. The company added its AI assistant, WPS AI, in July 2023.

Knowing who owns the product matters for a review, because the developer’s location shapes both the business model and the privacy picture. Kingsoft funds the free suite through a mix of advertising, optional subscriptions and cloud services, and — as a company based in mainland China — it operates under Chinese law. Both points come up again later in this review.

What is included in WPS Office?

WPS Office covers the same ground as Microsoft Office, with four main tools plus a growing set of cloud extras. Each app opens and saves the matching Microsoft format, so files move back and forth without a separate conversion step.

Writer (word processor)

Writer is the equivalent of Microsoft Word. It handles letters, reports, CVs and long documents with styles, headers and footers, tables, track changes, comments and a large built-in template gallery. It opens and saves DOCX and DOC files as well as the OpenDocument DOCX format explained here, plus plain text and RTF, and it can export straight to PDF.

Spreadsheets

The Spreadsheets app mirrors Microsoft Excel, with hundreds of functions, pivot tables, charts, conditional formatting and data filtering. It reads and writes XLSX and XLS files and CSV data. Most everyday formulas carry across from Excel unchanged, though very complex macros and some advanced functions can behave differently.

Presentation

Presentation is WPS Office’s answer to PowerPoint. It supports slide transitions, animations, speaker notes, a presenter view and PPTX and PPT files, and it ships with a wide range of ready-made slide templates. Many of these templates sit behind the paid plan, which is worth knowing before you rely on them.

PDF tools

A full PDF reader is built into the free suite, and this is one of WPS Office’s stand-out features — most rivals treat PDF as an export-only format. You can view, annotate and fill PDFs for free, but editing the text inside a PDF, converting PDF to and from Word, Excel or PowerPoint, merging or splitting files and adding e-signatures are reserved for the paid plan.

What can WPS AI do?

WPS AI is the suite’s built-in artificial-intelligence assistant, launched in 2023 and now woven through every app. In Writer it can draft a document from a short prompt, then rewrite, shorten or expand the text. In Presentation it can generate a full set of editable slides from a topic or an existing document. In Spreadsheets it can analyse data, build charts and summarise trends in plain language. Across the suite it also offers an AI spell-check, a translator and a PDF “chat” feature that summarises a document and answers questions about it.

The AI tools are genuinely useful and reviewers rate them well, but they are the most heavily restricted part of the free suite: free users get only a small daily allowance, and full access needs a WPS AI or Pro + AI subscription. If AI drafting is your main reason for considering WPS Office, factor the extra cost in rather than assuming it is free.

Is WPS Office free, and what do the paid plans cost?

WPS Office is free to download and use, and the free tier is a complete, time-unlimited suite rather than a trial — but it is deliberately limited to push you toward a subscription. The free plan (branded WPS Standard) gives you Writer, Spreadsheets, Presentation, a PDF viewer and 1 GB of cloud storage, and it shows advertising and upgrade prompts. Most PDF editing, the best templates and the bulk of the AI tools are locked.

The table below shows the main plans and their prices at the time of writing. Prices are set in US dollars, vary by region and by whether you buy through the website or an app store, and change fairly often, so always confirm the current figure on the official site before you pay. As a rough guide for New Zealand buyers, the Pro plan works out to around NZ$55–65 a year.

PlanPrice (at time of writing)What you get
WPS Standard (Free)US$0Writer, Spreadsheets, Presentation, PDF viewer, 1 GB cloud; shows ads; most PDF/AI tools locked
WPS Pro~US$35.99/yearNo ads, full PDF editing and conversion, e-signatures, premium templates, 20 GB cloud
WPS AI~US$119.88/yearFull access to the WPS AI tools (without the Pro features)
Pro + AI~US$129.99/yearEverything in Pro plus full WPS AI — the best-value bundle if you want the AI
Team~US$2.49/user/monthShared team features, from two users; AI not included

One thing worth flagging: several reviewers describe WPS Office’s refund policy as strict, with users reporting difficulty getting money back for accidental charges or automatic renewals. If you subscribe, turn off auto-renewal unless you are sure you want to keep paying.

Key Points

  • Free, but limited. The free suite is complete and time-unlimited, yet it shows ads and paywalls most PDF editing and AI tools.
  • Very Microsoft-compatible. It opens and saves DOCX, XLSX and PPTX natively with a familiar ribbon-style layout.
  • Strong PDF tools. A built-in PDF reader is free; full PDF editing and conversion need WPS Pro.
  • Runs almost everywhere. Windows, macOS, Linux, Android, iPhone, iPad and the web.
  • Mind the privacy angle. Chinese-owned and proprietary; keep sensitive files offline rather than in WPS Cloud.
  • Download only from wps.com or an official app store to stay safe.

How well does WPS Office handle Microsoft Office files?

File compatibility is WPS Office’s strongest selling point: it opens and saves DOCX, XLSX and PPTX files natively, so you can swap documents with Microsoft Office users without converting anything. For everyday documents — letters, simple spreadsheets, standard slide decks — formatting is usually preserved faithfully, and the familiar ribbon-style layout means Word and Excel users feel at home immediately.

Compatibility is not perfect, though, and this is the main limitation to understand. Very complex documents can shift: intricate Excel formulas and macros, heavily designed Word layouts and some advanced PowerPoint animations may not survive a round trip intact. Linux users in particular have reported weaker fidelity with complicated Word and Excel files. If you regularly exchange highly formatted files with Microsoft Office users, test a few of your real documents before committing. WPS Office also supports the OpenDocument formats used by LibreOffice and OpenOffice, though its own default is the Microsoft formats.

System requirements and how to download WPS Office safely

WPS Office is a light suite by modern standards. On Windows it runs on Windows 7 and later, and typically needs around 1–2 GB of RAM and roughly 1 GB of free disk space; the installed footprint has grown to a few hundred megabytes as PDF, cloud and AI features have been added. There are native builds for macOS and for mainstream Linux distributions such as Ubuntu and Linux Mint, and free apps for Android, iPhone and iPad.

The single most important safety rule is to download only from the official source. Always get WPS Office from wps.com (or the Apple App Store, Google Play or your Linux distribution’s store). Third-party download sites and “free premium” or “cracked” versions are a common way to pick up bundled adware or malware, and they also break the licence terms. The genuine installer from the official site is safe and free; you do not need a licence key to use the free tier. The same “official source only” advice applies to any free office suite — it is the central point of our guide to whether OpenOffice is safe to download.

Is WPS Office safe to use?

For most users, WPS Office downloaded from the official source is safe to install and use, and there have been no confirmed large-scale security breaches of the software. The more nuanced question is privacy, because the suite is made by a company based in mainland China and some data — particularly for the cloud and AI features — can be processed on servers in China, where it is subject to Chinese law, including the National Intelligence Law that can require companies to assist state security agencies.

Two documented episodes are worth knowing. In January 2021 the outgoing US administration signed an executive order to ban WPS Office on national-security grounds, citing its data-collection capabilities; the order was revoked days later by the incoming administration, though it said it would keep evaluating the risks. Separately, in June 2022 a Chinese novelist was temporarily locked out of a document stored in WPS Office, after an automated content-scanning system — which the company said it was required to run under Chinese cyberspace rules — flagged the file. The company apologised and restored access, but the incident fuelled concern about document monitoring on cloud-stored files.

The practical takeaway is not that WPS Office is dangerous, but that you should match the tool to the sensitivity of your work. For ordinary documents it is a reasonable, safe choice. For confidential, commercial or personal-data files, prefer the offline features, avoid syncing those files to WPS Cloud, and consider an open-source suite whose code can be independently audited. New Zealand businesses handling personal information should also keep the Privacy Act 2020 in mind when deciding where documents are stored.

How does WPS Office compare with other office suites?

WPS Office sits between the free open-source suites and the paid commercial giants. It is more polished and more Microsoft-compatible out of the box than OpenOffice, lighter and more mobile-friendly than LibreOffice, and far cheaper than Microsoft 365 — but it carries ads in its free form and raises privacy questions the open-source options do not. The table compares it with the main alternatives; the official sites are linked so you can check current details.

If you want a completely free, open-source desktop suite instead, our guide to LibreOffice versus OpenOffice walks through the two leading options, and our round-up of OpenOffice alternatives covers the wider field including cloud tools.

Who is WPS Office best for?

WPS Office suits people who want a familiar, Microsoft-style suite that runs well on a phone or tablet, who need solid PDF handling in one package, and who are comfortable with a Chinese-owned cloud product for non-sensitive work. The free tier is a genuinely capable word processor, spreadsheet and presentation tool for students, home users and anyone writing everyday documents, and the Pro plan is inexpensive compared with Microsoft 365 if you need ad-free use and full PDF editing.

It is a weaker fit if you need guaranteed pixel-perfect compatibility with complex Microsoft files, if advertising in free software irritates you, or if you handle confidential data and would rather use an open-source suite with no cloud ties. In those cases a free, audited desktop suite is often the safer call.

Common mistakes to avoid with WPS Office

A few recurring pitfalls catch new users out:

  • Downloading from unofficial sites. “Cracked”, “premium free” or mirror downloads are the main source of malware and adware. Only use wps.com or an official app store.
  • Assuming everything is free. Most PDF editing, the best templates and the bulk of the AI tools need a subscription — the free tier is capable but limited.
  • Forgetting auto-renewal. Subscriptions renew automatically, and refunds are reportedly hard to get. Turn off auto-renewal if you only want one year.
  • Syncing sensitive files to WPS Cloud. For confidential documents, stick to offline files rather than uploading them to servers governed by Chinese law.
  • Skipping a compatibility test. If you exchange heavily formatted files with Microsoft Office users, check a real document first rather than discovering layout problems later.

Vanliga frågor (FAQ)

Is WPS Office completely free?

The core suite is free to download and use with no time limit, covering Writer, Spreadsheets, Presentation and a PDF viewer. However, the free tier shows advertising and locks most PDF editing, premium templates and the bulk of the AI tools behind a paid subscription, so “free” means a capable but limited version.

Is WPS Office safe to download?

Yes, provided you download it from the official wps.com site or an official app store. There have been no confirmed major security breaches of the software. The bigger consideration is privacy: as a Chinese-owned product, some cloud and AI data can be processed in China under Chinese law, so avoid uploading highly sensitive files.

Is WPS Office compatible with Microsoft Office?

Yes. WPS Office opens and saves DOCX, XLSX and PPTX files natively, so you can exchange documents with Word, Excel and PowerPoint users without converting them. Everyday files transfer cleanly, but very complex formatting, advanced Excel formulas and some animations may shift, so test important documents first.

What is the difference between WPS Office and WPS Office Pro?

The free version includes the main apps but shows ads and limits PDF and AI features. WPS Pro, around US$35.99 a year at the time of writing, removes the ads and unlocks full PDF editing and conversion, e-signatures, premium templates and 20 GB of cloud storage. A separate Pro + AI bundle adds full access to the WPS AI tools.

Is WPS Office open source like LibreOffice?

No. WPS Office is proprietary software owned by Kingsoft, so its code is not public and cannot be independently audited. LibreOffice and Apache OpenOffice are open source and free of ads, which is why privacy-conscious users and organisations often prefer them for sensitive work.
